An agent is at a showing or at the closing table, not behind a desk. Someone calling about a listing should not be left in the dark until a call-back happens.
Always ask callers for the address or listing number of the property in question: without it, you will not know which listing they mean when you call back. Also separate buyers, sellers and time-sensitive matters (an offer with a deadline, an inspection still to be scheduled): the latter deserves priority.

Please leave the address or listing number, along with your name and phone number, and we will call you back as soon as possible. If this concerns an offer deadline or a scheduled inspection, please say so and you will be prioritized.”
After hours
“Welcome to [agency name]. Our office is currently closed. We are available on weekdays from [time] to [time]. Current listings are available at [website]. For anything else, feel free to leave a message with the address in question.”
Voicemail
“You have reached the voicemail of [agency name]. Please leave your name, phone number and the address of the property you are calling about, and we will get back to you as soon as possible.”
